(1) Vendor needs to provide customer relationship management system
- User & Group Security Settings – role-based security & permissions.
- Ellucian Banner Integration – integrates with Ellucian Banner 9 ERP System
- Microsoft Office Integration – ability to integrate with Outlook, Word, and Excel, including ability to import/export Excel and CSV files,
- General Content Management Features & Requirements:
- Secure Web Access - the CRM system can be accessed remotely by users.
- Mobile Friendly – all sites should be built from a mobile-first standpoint.
- Inquiry Forms – supports multiple landing pages and inquiry forms.
- Shared Calendars – calendars can be viewed based on role and permissions.
- Activity Planning & Tracking – tasks can be assigned and tracked on an individual basis, and/or generated automatically based on business rules.
- Customization of Reports – flexible and intuitive report generation.
- Optional: Workflow Automation – ability to integrate & automate business processes,
- Contact Management Features & Requirements:
- Inquiry History & Tracking: simple, user-friendly interface to add contact information such as name, phone, address, email, preferences, ‘do- not-contact’, or other account-related details.
- Applicant Data: stores information to include contact information, holds, curriculum, test scores, GPA, etc.
- Current Student Data: ability to pull all student information from Banner which is unrestricted.
- Early Alert Notifications: ability to track and communicate automatically with students if an Early Alert Notification is set.
- Financial Information: ability to pull student financial records, including Financial Aid, from Banner.
- Course Registration Information: ability to pull student course registration information from Banner.
- Customizable User Interface: ability to customize views and interfaces.
- Mail Merge: the CRM system can insert contact information into documents such as letters or mailing labels.
- Customizable Objects & Fields: ability to create custom fields/objects.
- Advanced Search: ability to search contacts, notes, email/call history.
- Time/Date Stamped Notes: automatic time/date stamping for all notes,
- Event Features & Requirements:
- Campaign Management - provide a simple interface for building, monitoring, and adjusting campaigns, orientations, virtual tours, etc.
- Customizable Campaign Fields – the system is customizable and allows for an unlimited amount of campaign types to be entered and tracked (such as Campus Tours, Recruitment Events, Orientations, etc.). Specific fields for each campaign type can be created, modified, or removed.
- RSVP ability – the system has the ability to capture and track campaign RSVP’s
- Event Reminders – able to automate reminder communications abut events and campaigns that a student has RSVP’d to
- Appointment scheduler – allow students to set up appointments or register for events online,
- Marketing Features & Requirements:
- SMS Texting – ability to send and receive SMS texts
- HTML Email Marketing – system can send tracked HTML emails which can include videos, photos, headers, etc.
- Compliance with CAN- SPAM – system ensures adherence to CAN-SPAM.
- Instant response/automated interactions – ability to create automated responses
- Customer Segmentation & Profiling – the CRM system can segment customers and prospects by demographic criterion.
- Conditional messaging – ability to adjust messaging based on population selection,
- Campaign Response Metrics – all customer/prospect responses from campaigns, such as click-through rates, can be reported on.
- Reports & Dashboards – provides high-level view of student lifecycle (from inquiry and application through graduation) and engagement that can be rolled up or drilled down on.
